Reserving Shared Spaces

Our facility rentals are designed to provide residents with convenient access to shared community spaces for personal events, meetings, or group activities. From birthday parties and family celebrations to club meetings and neighborhood gatherings, these spaces offer a welcoming and well-maintained setting that supports a variety of uses.

We promote responsible use of our common areas while ensuring fair and equitable access for all residents. Rentals help encourage community connection and give homeowners the opportunity to enjoy our amenities in ways that bring people together. Guidelines and scheduling help maintain the quality of these spaces so everyone can enjoy them for years to come.

Spaces Available for Homeowners

​Looking to host an event or gathering? Oak Hills offers several community facilities available for resident rental. Explore the spaces below to find the right fit for your occasion, along with details on availability and guidelines.

Community Room

Host parties, meetings, or private events in our versatile community space. ​

Picnic Area

The picnic area is available to reserve for small gatherings, parties, or events. 

Meeting Room

The meeting room is ideal for small groups, club meetings, or indoor gatherings. ​

Tennis Court

Reserve court time for matches, lessons, and recreational play. Pickle ball, too!

Gym/Recreation Center

The gym/recreation center is available for sports, fitness events, or large indoor activities. ​

Pool Rental

Looking for a private pool party? The pool is available for rental by reservation only.

Other Notes:
  • Reservation time includes setup and cleanup.
  • Maximum capacity limits apply.
  • All rental requests must be submitted through our online booking system and are subject to approval by the Board of Directors. Please note that pool rentals are contingent upon lifeguard availability during your requested time. 
  • Submitting a request does not guarantee approval. We strongly recommend submitting your request well in advance to allow time for staffing coordination and confirmation. 

The Process for Renting

To reserve a community facility, please follow the steps below: 
  1. Review Rental Options 
    Browse the list of available facilities and rental rates, including duration requirements, deposits, and staffing needs (where applicable). 
  2. Submit a Request Online 
    Use our online booking system to submit a rental request for your preferred facility, date, and time. Some facilities may have specific time blocks or duration minimums.  The Agreement form must be completed prior to the rental being confirmed.
  3. Await Approval 
    All requests will be reviewed and are subject to approval. Pool rentals and other staffed facilities depend on the availability of qualified personnel (e.g., OHHA-trained lifeguards). Submitting a request does not guarantee approval. 
  4. Receive Confirmation & Payment Instructions 
    Once your request is reviewed, you will receive an email with confirmation details, total cost, and instructions for payment and deposit submission. 
  5. Pay Rental Fees & Deposit 
    To finalize your reservation, all rental fees and any required cleaning or staffing deposits must be paid by the specified deadline. 
  6. Prepare for Your Event 
    Ensure your event complies with community rules, time restrictions, and capacity limits. Plan for setup and cleanup within your reserved time.
  7. Post-Event Review 
    After your event, the facility will be inspected. If it is left clean and undamaged, any refundable deposits will be returned. 

Expectations & Guidelines

To ensure a safe and respectful use of our community facilities, the reserving resident agrees to the following responsibilities: 

Sign Liability Release 
A signed liability waiver must be submitted prior to the event to confirm your reservation. 

Be Present for the Entire Event 
The reserving resident must remain on-site for the full duration of the event to oversee activities and ensure compliance with community guidelines. 

Post-Event Cleanup 
The facility must be left in clean and orderly condition. Required tasks include: 
  • Removing all garbage and recycling 
  • Sweeping and/or vacuuming floors 
  • Wiping down counters, tables, and appliances 
  • Returning tables and chairs to their original positions 
  • Turning off all lights and equipment

Responsibility for Damages 
The reserving resident is financially responsible for any damages to OHHA property, buildings, furnishings, or equipment that occur during the event.

Failure to meet these responsibilities may result in forfeiture of cleaning deposits, additional charges, or loss of future rental privileges.
